The Division of Shared Services is a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all of the University’s internal and external customers.
The role/Te mahi
This role will support the Client Services team in the Faculty of Dentistry clinic environment. The Faculty teaches/trains oral health therapists, dental technicians, dentists, and dental specialists while also providing best-practice dental services to the Otago community.
This Lead Administrator role is one of four Lead Administrators supporting the Faculty of Dentistry in Dunedin, providing leadership and coordination to the Administration staff in the Dental Hospital (commonly referred to in Dunedin as the “Dental School”).
- Undertaking operational activities and/or projects in a timely and customer-focussed manner.
- Organising and supporting a team of staff to give an excellent patient experience in the dental hospital.
- Providing a range of administrative support activities, including overseeing administration activities; meeting administration; coordinating and organising internal review processes; gathering information and drafting documents; ensuring accurate, timely and efficient administration activities.
- Supervising others and managing day-to-day activities of your team, including prioritising and allocating workflow.
Due to the nature of the Shared Services Division, the range of tasks and responsibilities is broad and may require performing duties at different workplaces or locations across the Dunedin campus.
Your skills and experience/Kā pūkeka me kā wheako
- Previous supervisory experience or exposure to managing teams.
- Proven experience co-ordinating administration and providing excellent customer service in a busy or complex administration environment.
- Strong communication skills and the ability to deal with challenging customers.
- Experience in building and fostering positive work relationships.
- A positive team approach that is solutions focused.
- An ongoing commitment to positive outcomes for our students, staff and visitors.
- Strong Microsoft Office skills.
- Knowledge and understanding of legislation relevant to health and patient services.
- Experience in a clinical setting (i.e., a health clinic, dentist or hospital).
- An understanding of the Titanium patient management system (or similar).

This is a full-time (37.5 hours per week), fixed term position until 28 June 2024.
